Tasks

Task1: Planing iteration

This is a mandatory task. Project manager shall do the planing task as is described in the internal document related with groups and projects.

Task2: Periodic reports

This is a mandatory task. Project manager shall send a periodic report each planned period. The periodic report, at least, shall containg the information written at Project monitoring report. As a summary but less prioritized than the document, the main sections are:

  • Project name
  • General information.
  • Present
    • Planning control: Closed tasks / achieved goals / project status
    • Risks management.
    • Non conformities.
    • Stakeholders management (client, contract, offer and other third parties management)
  • Future
    • Scope control (Next weeks / in progress tasks)
    • Previsions and expectations ( including changes requirements, requests of changes)
  • Other
    • Learned lessons and new suggestions
    • Other comments (Commitments, incidences, etc.)

Task3: Meeting minutes

All the internal and external meetings shall contain a meeting minutes. The minutes shall contain this information:

  • Summoned people
  • Agenda
  • Conclusions
  • Actions and responsibles

Important:

  • The first meeting with the client shall contain a point to talk about the formal beginning of the project (with meeting minutes) and, if this project is the first we work with the client, an explanation about our methodology and the periods for our tasks.
  • The first internal meeting shall contain a point to talk about the formal beginning of the project (with meeting minutes) and the project plan approval or the revisions that could appear to the project plan.

Task4: Project status control

This task is mandatory each milestone or, at least, each two months. This task contain the following subtasks:

  • Check supposed status (task completion) in the offer for this date.
  • Check status (task completion) in the analysis wiki for this date.
  • Compare the previous numbers to obtain completion deviation.
  • Check estimated hours in the offer from the beginning until this date to complete the supposed status of completion (the first value of the list).
  • Check planned hours in the analysis from the beginning until this date.
  • Check spent hours in the phpreport.
  • Compare the estimated hours and the spent hours to obtain the cost deviation.

Task5: Quality control

This task is mandatory each milestone or, at least, each two months. This task contain the following subtasks:

  • Configuration management audit.
  • Review internal checklists related with control, montoring and quality.

Task6: Other coordination tasks

Unidentified tasks at the beginning of the project. At this subtask can be added the following tasks because they don't have specific timeline:

  • Commitment identification and management.
  • Risks identification and management.
  • Incidences identification and management.
  • Change requests identification and management.

Task7: Internal Meetings

Team meetings.

Task8: External Meetings

Meetings with stakeholders.
