🚀 AI Voice-to-Task Management System Documentation 📋 Project Overview We built a complete AI-powered voice task management system that captures spoken conversations, extracts actionable tasks using AI, and sends daily email reminders to users.

🏗️ Workflow 1: Voice-to-Tasks Pipeline 🎯 Purpose: Convert voice recordings into structured tasks

Flow Diagram: Webhook → Set Email → HTTP Request (HF) → HTTP Request (Groq) → Merge → Code (Parse) → Google Sheets

Step-by-Step Process:

📧 Workflow 2: Daily Reminder System 🎯 Purpose: Send daily task reminders to users Flow Diagram: Schedule Trigger (9 AM) → Google Sheets (Read) → Filter Due Tasks → Group by User → Filter Valid Emails → Gmail

Step-by-Step Process:

  1. Schedule Trigger What: Runs workflow daily at 9:00 AM Configuration: Trigger Times: Daily at 09:00 Timezone: Local timezone
  2. Google Sheets (Read) What: Fetches all tasks from database Configuration: Operation: Read Read All Data: ✅ Yes
  3. Code Node (Filter Due Tasks) What: Identifies tasks that need reminders Logic: Due today or overdue Status is 'New' or 'Pending' Has valid task description

  3. Why Groq LLaMA for Task Extraction? ✅ Fast inference - Much faster than OpenAI ✅ Cost-effective - Lower cost per token ✅ Good reasoning - Excellent at structured data extraction ✅ JSON output - Reliable structured responses
