On #1431 we moved the recordings from meetings to a Google Sheet spreadsheet, due to privacy concerns and the possibility of usage of these recordings to impersonate people by training GenAI models that can be used for creating audio or video deepfakes. This was done following the vote on #1406, on which the most voted option was "❤️ Make the recordings expire or become unlisted after some time period (or only accessible to GC / admins eventually)".

On the current state, meetings are not unlisted after any time period: all meetings are listed on this spreadsheet. I would like to propose that we:

  1. Create a private spreadsheet only available to a certain group of members*
  2. Periodically move recordings that are older than 6 months* to this private spreadsheet and remove them from the public spreadsheet
  3. Create a mechanism through which any OpenTelemetry org member* is able to request access to a recording from a specific date through a public Github issue by providing a reason for doing so

*: We can litigate the set of owners, time of expiration and set of people that can request access to a recording, but I want to first get feedback on the changes proposed on a general sense
